THSM TECH ACADEMY

Privacy Notice

This privacy notice explains how THSM Tech uses account information, course records and support requests, including the choices associated with optional AI chat.

Privacy notice for accounts, courses and support

This notice describes the THSM Tech website, student portal and course-support features. For questions about your information, use our contact form or the academy’s published WhatsApp contact. Do not send passwords, payment details or identity documents in an enquiry.

Account and course information

When you register, the academy receives the details you submit in the registration form. These can include your name, account email, contact information, age or suitability information, and study preferences. Guardian details are requested where applicable. The academy uses this information to manage accounts, discuss course suitability and arrange enrollment.

The portal records enrollment, course progress, assignment submissions, quiz attempts and results, attendance where used, and completion-certificate records. Authorized academy staff use the information to deliver courses, review work and support students. Creating an account does not by itself approve enrollment or certify course completion.

Course discussions and certificates

Course discussion posts and replies are visible to students with access to that course and its authorized teaching staff. Other students see the display name shown by the discussion system. Do not put private contact details, personal documents or information about another person in a post. Moderation reports are handled by authorized staff.

A certificate’s code or QR link opens a public verification result. It shows the course and record details with a masked student name. Share certificate files and verification links only with people you intend to receive them.

Support requests and optional AI chat

The contact form sends the details you enter to the academy for support. The website guide uses public course information. When AI chat is available, the chat lists its configured services and requests consent before sending a question.

An AI request includes your question, up to three recent conversation exchanges and public academy information. If automatic backup is enabled, more than one listed service and its upstream model providers may receive that information when an earlier service fails. The AI chat does not read private student records. The THSM Academy chat component does not save conversation transcripts; recent chat is held by the open page until it is cleared or reloaded. Each external AI service has its own processing and retention terms. Avoid sensitive information and use human support when appropriate.

Sign-in, security and external services

WordPress uses cookies to maintain sign-in sessions. Website hosting and security components process technical information needed to operate the site, protect accounts and investigate errors or misuse. External links open services with their own privacy practices.

Course videos hosted on YouTube load through an external player when used. Live classes may use the service specified for the cohort. Check the relevant provider’s account, age and privacy requirements before using it. Unlisted YouTube links are not a guarantee against sharing or downloading.

Younger students and information requests

Students under 18 use a parent-managed account under the academy’s participation arrangements. A parent or guardian should help with account details, course suitability and third-party tools.

Contact the academy to ask about your account information, corrections, deletion requests, or the retention arrangements for a particular record. The academy may need to verify that a request comes from the account holder or authorized guardian. Records should not be assumed to disappear automatically when a course ends.

Website analytics

THSM Tech uses Google Analytics through Site Kit to understand visits to public website pages and actions such as course enquiries. Google may process technical device, browser and interaction information under the configured analytics settings. We do not intentionally send student names, contact details, assignments, passwords or certificate codes in analytics events. Analytics choices are available through the website analytics control where displayed. Sign-in cookies and course records are separate from optional analytics.

Read how Google uses information from sites that use its services. Contact the academy about the current settings or your information.

Public student reviews

If you choose to submit a course review, the academy moderates it before publication. An approved review can show your chosen public name, course, rating, review text and academy response to any website visitor. Do not include private student details. You can withdraw your review through your account or contact the academy. Withdrawal hides the public review. A confirmed privacy erasure request can remove your review and moderation record.

Information requests and retention review

The academy can use WordPress privacy tools to export supported Academy profile and course records and remove or anonymize profile, support and community information. Academic evidence, certificates and protected audit history may require an individual retention review and are not silently erased when a course ends. We explain any retained information when processing a verified request. Notification delivery is held after a confirmed erasure request until academy review; a pseudonymous suppression marker is retained to enforce this choice. Backup, hosting, SMTP and external-provider records have separate retention arrangements. Successful Academy notification content is cleared from its delivery queue; completed, cancelled or failed queue records are removed after 30 days.

Student registration profiles

Registration includes the student’s full name, age group, account email, contact number, country, city, education stage, course interest, experience and whether they attended previous THSM Tech classes. School/organisation, device and goals are optional. For students under 18, we also collect the parent or guardian’s name and relationship, using the adult’s contact details. We use these details for account administration and course placement. They are not published in course listings or certificate verification. Contact the academy to correct your registration details.

Student Discussion

Course discussion posts and replies are visible to students with active enrollment in that course, the assigned instructor and academy administrators. Student names are shortened; account emails and registration profiles are not displayed. Reports are visible only to authorized teaching staff. Hidden posts are retained for moderation and can be restored by teaching staff. Contact the academy for a privacy or deletion request.

Optional AI course support

The website guide uses published academy information. If AI support is enabled, the chat lists the configured providers before asking for consent. Your question, recent conversation and public academy information go to the primary service. If automatic backup is enabled and a service is unavailable, this information may also go to the next listed services and their upstream model providers, where applicable. Do not include passwords, identity documents, payment information or sensitive student details. The chat does not read your student records. This plugin does not save chat transcripts; the open page keeps recent messages until you clear or reload it. Provider processing, retention and use depend on each selected service and plan. Contact the academy for human assistance or questions about the configured providers.

Optional Google and Microsoft sign-in

When enabled, choosing Google or Microsoft sign-in redirects you to that provider to approve sharing your basic identity, name and email with THSM Tech. We receive this information to identify your connected account. We do not receive your provider password, request your mail or files, or retain provider access tokens.

New accounts verify their contact email and complete the student registration details. For students under 18, a parent or guardian manages the account. Email/password sign-in remains available. Signing in does not automatically enroll a student or issue a certificate.

We store a protected provider identity reference and the connection date while your account exists. You can disconnect a provider in My profile after confirming your website password. Temporary sign-in and email-verification records expire after 20 minutes; verification codes expire after 10 minutes. Provider sign-in also follows the privacy policy of Google or Microsoft. Contact the academy for help with account data.
